Privacy Policy
Erase the risk. Keep the proof.
01 Personal information we may collect
Depending on how you interact with us, we may collect names, job titles, organisation details, phone numbers, email addresses, service and collection addresses, billing information, purchase-order information, quote and service records, correspondence, complaint information and other details you provide. For client jobs, we may also record asset identifiers such as serial numbers, IMEI numbers, asset tags, internal asset IDs, seal numbers, device descriptions, photographs and processing outcomes. We do not seek to collect the contents of client devices as part of ordinary service delivery.
02 Sensitive information and data on devices
Client devices may contain sensitive or confidential information. Our service is designed to minimise unnecessary access to stored content. Personnel and providers must not intentionally access, copy, view, use or disclose the contents of client devices unless access is authorised and reasonably necessary to perform the agreed service, troubleshoot an exception, investigate an incident or comply with law.
03 How we collect information
We may collect personal information directly from individuals, client organisations, authorised representatives, website forms, email, telephone calls, quotes, service requests, collection records, uploaded asset registers, invoices and other business interactions. We may also receive information from approved partners or service providers where necessary to complete or document a client service.
04 Website information and cookies
Our website and hosting environment may collect technical information such as IP address, browser type, device information, pages visited, timestamps and security logs. We may use essential cookies and similar technologies for website operation and security. If we enable additional analytics or non-essential tracking, we will use that information to understand website performance and improve our services and will implement any notice or consent controls required by applicable law.
05 Why we use personal information
We may use personal information to prepare quotes, respond to enquiries, schedule and deliver services, verify client authority, manage collections and chain of custody, maintain asset registers and certificates, communicate processing outcomes, manage invoices and payments, maintain insurance and business records, investigate incidents or disputes, improve our services, protect our systems and comply with legal or regulatory obligations.
06 Disclosure to third parties
We may disclose information where reasonably necessary to approved destruction, recycling, ITAD, transport, cloud, hosting, email, accounting, payment, insurance, legal, professional or technology service providers. We may also disclose information where required or authorised by law, or where necessary to protect the rights, safety or property of ZTRX Secure, our clients or others. We do not sell personal information.
07 Overseas processing
Some technology and cloud service providers may store or process business information outside Australia. The location can vary according to the provider and service configuration. Where reasonably practicable, we select reputable providers and use appropriate account, access and security controls. We do not intentionally send the contents of client devices overseas as part of ordinary sanitisation or destruction services unless this is agreed with the client and forms part of the approved service pathway.
08 Security
We use reasonable administrative, technical and physical safeguards appropriate to our operations. These may include restricted access, multi-factor authentication, controlled business systems, secure storage and transport procedures, chain-of-custody records, logging and incident-response processes. No system or transmission method can be guaranteed to be completely secure.
09 Retention and deletion
We retain personal information and client job records only for as long as reasonably required for service delivery, audit, evidence, accounting, insurance, legal, dispute-resolution and legitimate business purposes. Retention periods may differ by record type. When information is no longer reasonably required, we take reasonable steps to securely delete, destroy or de-identify it where appropriate and legally permitted.
10 Access and correction
You may request access to personal information we hold about you, or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. We may need to verify your identity and authority before acting on a request. In some circumstances, applicable law may permit or require us to refuse access; if so, we will explain the basis where reasonably required.
11 Direct marketing
We may contact business representatives about ZTRX Secure services where permitted by law and appropriate to the relationship. You can ask us to stop marketing communications at any time by using the unsubscribe mechanism provided or contacting us. Operational, contractual and service communications may continue where necessary.
12 Privacy complaints
If you have a privacy question or complaint, contact us using the details below. Please provide enough information for us to understand the issue. We will assess the matter, may request further information, and aim to respond within a reasonable period. Where applicable, you may also have the right to complain to the Office of the Australian Information Commissioner.
13 Data breaches
We maintain procedures for responding to suspected data breaches. Where the Notifiable Data Breaches scheme or another legal notification requirement applies, we will assess the incident and make notifications as required by law.
14 Changes to this policy
We may update this Privacy Policy to reflect changes to our services, systems, legal obligations or information-handling practices. The current version will be published on our website with its effective date.
